Basic Guide on Creating a New Template

to use the template/merge field features you must have Microsoft Word installed on your computer. Each version of Word has its own small contingencies and processes to take note of when adding Merge fields. This guide was created using version 16.39 of Word for Mac, if you are using a different version, and this guide is not offering the correct help see the attached Docmosis guide. The attached Guide goes into more detail for each version of Microsoft Word.) Inserting a New Merge Field

  1. Click the Insert tab in the Word toolbar.
  2. Click Field
  3. In the Field dialogue box, find and select the Category Mail Merge and the Field Name MergeField
  4. Click Ok
  5. The merge field may appear with the following message; "Error! No bookmark name given". To fix this, right click the text, and select Toggle Field Codes
  6. Enter the name of the merge field you wish to create. The name should go before the "/*" between the Mergefield texts.
  7. Right click, and select Update Fields again.
  8. Success! A merge field has been created. 
    -In order for these merge fields to generate when creating a letter/output for a household or report, the template must be uploaded or re-uploaded into Doorways.

Step by Step Editing a Merge Field

  1. Right click the merge field you wish to edit.
  2. Click Toggle Field Codes. This will set the merge field into edit mode. 
  3. Make the changes you wish to perform.
  4. Two-finger click or double click on the merge field and select Update Field to update your changes 
  5. Save the document, and re-upload to Doorways if necessary.

Adding an Image Merge Field - Letterhead

Image Merge fields require a "placeholder" image. This means the image will be replaced by the one that is entered into the custom global merge field in Doorways. 

  1. Add an image to act as a placeholder in the document.
  2. Select the placeholder image. Note: Your placeholder image size and the image size you want to populate should be exact to prevent stretching. 
  3. In the Insert tab, select Links, then Bookmarks.
  4. In the Bookmark Name field, enter the merge field name that will match the Custom Global Merge field associated with this image. the prefix "img_" should be placed before the mergefield name in the bookmark field name. Ex: img_ha_letterhead. The img prefix is not needed for the custom global merge field name. (The image merge field name must have a matching custom global merge field in order to populate upon letter generation)
  5. Note: Image must be in-line with the text as docmosis does not support floating images.
  6. Save the document, and re-upload to Doorways as necessary.
