The basic flow of a work order is Unassigned/Assigned > In Progress > Ready for Review > Complete. This guide will show you how to go through this process and point out what to do if you need to go back a step and/or reopen a work order.

Step-By-Step Guide to Completing a Work Order

1. Assign Work Order - There are multiple ways to assign a work order to a maintenance worker. You can do so during the creation of the work order, upon editing the work order details, and/or when beginning the work order.

2. Open work order that is unassigned. 

3. Click the "Start Working" button.

4. A modal will prompt the user to select a User that will be assigned the work order.

5. Select an assignee from the dropdown menu.

6. Click "OK".

7. This Work Order is now assigned and will show up in the selected assignee's list of work orders, and work can begin.

Start Working  - 

  1. Click the Start Working button in a new work order you want to work on, or select an In Progress work order. 
  2. Enter in the work completed, and either select Save and Finish Later or Work is Complete 
  3. Check the Smoke Detector checkbox if the detector has been inspected.
  4. The status of the work order will then change In Progress

In Review - 

  1. After clicking the Work is Complete button, a modal will appear prompting the user to select a user assigned to review the work order.
  2. Select a Reviewer, then click OK.
  3. The status of the work order will then be changed to In Review

Review and Close

  1. Open a work order that has the status of In Review
  2. Perform the review process setup by your Housing Authority for the specific work order.
  3. Click the Complete Work Order button. 
  4. The status of the work order will be set to Completed
  5. Depending on your configuration, work order charges will either automatically be posted to the responsible party identified in the charge or you will have to post them manually. In either case, a popup will appear asking you to confirm the charges associated with the work order. 

Printing a Work Order Charges Letter

  1. Click on the dog-eared page in the top right of the work order 
  2. Select the letter you would like to send
  3. Review the letter
  4. Print or Email to the household associated with the work order
