Doorways provides the ability to create document templates that can be used by everyone throughout the application. It enables you to select, modify, and create templates and subsequently create letters such as re-certification notices, verification letters, late notices, late fee assessments, rent change/contract amendment letters, and so on.
Correspondence can be sent to a single individual or to many via Bulk-mail (snail-mail). (It is not possible to email more than one person from within Doorways)
Generate A Letter
Step-by-Step Guide
- Locate the tenant or applicant you wish to correspond with using the Correspondence feature button on the homepage.
- A list of letter templates will appear, choose a template that correlates with your reason to correspond with the tenant/applicant. If a template has not been made for the purpose of communication read below for information on creating a brand new letter template.
- A preview of the template will appear giving you the option to Generate, Edit the template, or close the screen.
- From here you can choose to Edit the Template, when finished editing click "Generate".
- Choose the address you want to send the correspondence to from the drop-down menu.
- Click "Preview & Generate"
- Go over the letter to ensure the information, and double check that merge fields have been replaced. If so, click "Generate".
- NOTE: If the merge fields have not been replaced with the tenant/households information, then you may manually enter the information, or double check that the tenants information is up to date in the app.
Creating A New Template
If there is not a template has not been created for the purpose of communication you wish to send, it is possible to create and save a new template.
Step-by-Step Guide
- Click Letters in the header bar. You will be redirected to the correspondence pages.
- Click "New Template".
- You will be prompted to enter the new templates Title, Description, and Tags for more refined searches. You can change description and title later if need be.
- Click "OK".
- Type and format the content you wish to be in the new template. If there are merge fields you wish to include (for ease in including housing association, user, or tenant information in a letter) there is a quick list of merge fields to the right (Shown Below), and you may download/print the master list of all merge fields in Doorways.
- Be sure that when you are including merge fields they are spelled exactly as they are listed, and they are surrounded by these characters "{{ }}".
- When finished creating the new template, click "Save".
- Click "List" to return to the list of all templates.

Create a New Inspection
- Click Inspect - Create an Inspection.
- The new Inspection wizard will launch.
- General Information: Select the Inspection Form, and the subsequent Inspection Type.
- Property Information: In the search field, enter a tenant name or a unit address to find the specific unit you are looking for. The selected unit and selected household fields will auto-populate once a unit/household is selected. Households that are not moved into a unit will not appear in the search dropdown.
- Inspection Staff Information: Enter or select an inspection date and time. It is optional to select a Date & Time, however, if you choose one you must enter the subsequent date or time. You cannot just enter a time and vice versa. Then, check the "Yes" or "No" selection bubbles next to "Permission to Enter". Select the user that will become the assignee/performer of the inspection, this step is optional, you may leave the inspection "Unassigned".
- Comments (optional): If needed, enter in any comments that may be applicable to this unit inspection.
- Cancel/Create Inspection: If you click "Cancel" the user will be returned to the inspections list, and the information entered for the new inspection will be deleted. If the user selects the "Create Inspection" button.
- Success!: After confirming the creation of the inspection, the user will be prompted with a success message and the option to either click "No" and return to the inspections list, or click "Yes" and view the new inspections details.
