Correspondence 

Doorways provides the ability to create document templates that can be used by everyone throughout the application. It enables you to select, modify, and create templates and subsequently create letters such as re-certification notices, verification letters, late notices, late fee assessments, rent change / contract amendment letters, and so on.

Correspondence can be sent to a single individual or to many via Bulk-mail (snail-mail).  (It is not possible to email more than one person from within Doorways)

C- "Correspondence" button, first prompts you to search for the household you wish to generate correspondence for, and offers a list of document templates to choose from.

Step-by-step guide

  1. Locate the tenant or applicant you wish to correspond with using the Correspondence feature button.
  2. A list of letter templates will appear, choose a template that correlates with your reason to correspond with the tenant/applicant. If a template has not been made for the purpose of communication see Letter Templates for information on creating a a brand new letter template.
  3. A preview of the template will appear giving you the option to Generate the Correspondence, Edit the template, or close the screen.

Create a New Inspection

  1. Click Inspect - Create an Inspection.
  2. The new Inspection wizard will launch.

  3. General Information: Select the Inspection Form, and the subsequent Inspection Type.
  4. Property Information: In the search field, enter a tenant name or a unit address to find the specific unit you are looking for. The selected unit and selected household fields will auto-populate once a unit/household is selected. Households that are not moved into a unit will not appear in the search dropdown.
  5. Inspection Staff Information: Enter or select an inspection date and time. It is optional to select a Date & Time, however, if you choose one you must enter the subsequent date or time. You cannot just enter a time and vice versa. Then, check the "Yes" or "No" selection bubbles next to "Permission to Enter". Select the user that will become the assignee/performer of the inspection, this step is optional, you may leave the inspection "Unassigned".
  6. Comments (optional): If needed, enter in any comments that may be applicable to this unit inspection.
  7. Cancel/Create Inspection: If you click "Cancel" the user will be  returned to the inspections list, and the information entered for the new inspection will be deleted. If the user selects the "Create Inspection" button.
  8. Success!: After confirming the creation of the inspection, the user will be prompted with a success message and the option to either click "No" and return to the inspections list, or click "Yes" and view the new inspections details.
