Late Fees
1. Navigate to Accounting on Header bar.
2. Select the Late Fees tab.
A. Current - This is the main screen, it's showing the results for your filtered on households
B. History - Clicking this link takes you to all historical late fee postings
C. Show Filters - By clicking on your filters option, you're able to filter to specific results for late fees
D. Filtered On - This section shows what your current filtered results are based on
E. Select All - Click this radio button to select or deselect every household in the list of results
F. Selected Households - The selected households for a late fee are marked with a blue box and white check mark
G. PPU - The PPU of the household
H. Household Name - The Head of Household Name
I. Balance - This column shows the total amount of their Accounts Receivable account of the date indicated in the Filtered On criteria (D)
J. Last Payment Date - Shows the last date of payment
K. Last Posted Amount Total - Shows the amount paid on the last date of payment
L. Notes - Here, you will find all of the household notes associated with this household
M. Post Late Fees - By clicking here, you are acknowledging all selected households are correct and will receive a late fee.
3. Check that the Filtered On (D) criteria encompasses the households you would like to post late fees for. If the feature is already correct, continue to step X. If the results do not, proceed to the next step.
4. Filter the late fees feature to encompass the correct households. Note: The filters are sticky, meaning they will retain that filtered on criteria the next time you look at this feature.
Filter options:
A. Household Status - Choose which status of the household you would like to run late fees for, you can select All if you would like.
B. Date - The date you would like to see balances for. For instance, if it's May 25 but I want to see who had not paid as of May 15, I can set this date to May 15 and see the balances at that time.
C. Days Since Last Payment Greater Than - This feature allows you to exclude anyone who has made a payment in x days. For instance, if I want to exclude anyone from receiving a late fee if they paid toward their balance in the last 5 days, I would enter 5 here.
D. Program - You must select a Program to run these late fees for.
E. Project - Use the radio buttons to select one or multiple Projects to post late fees for.
F. Account Definition - Select the account for the balance the late fees are for, and where the late fee will post. Note: a late fee subcategory must be configured on the account you would like to post late fees for. If an account definition does not populate for you, reach out to Support.
G. Account Aging - You can choose the aging for the account selected. For instance, if you only want to see households whose balances are between 30 and 60 days old, you would select that option. Note: Aging is based upon the date filter if set (B).
H. Apply Features - Click here to apply the filters you just set.
5. Once the desired households are showing up in your Filtered On (D) area, Post Late Fees (M)
6. The Late Fee wizard will run, fill out the fields. Note: the description you put in here will populate in the description of the transaction in the tenant ledger.
7. Once late fees are posted, a success message will appear letting you know that the transactions may take a few minutes to appear.
8. After you've posted late fees, a new icon will appear in the Late Fees Posted column in the late fees overview
9. You can click on the History (B) link at the top of the screen to view all historically posted late fees
10. Select the Late Fee group you would like to evaluate or print invoices for
11. From here, you'll be taken to the Late Fee Summary
A. Generate Late Fees - Clicking here will take you back to the main late fees overview screen
B. History - Clicking here will take you back to view all historical late fees
C. Late Fee Group Summary - This section provides details of the late fee you posted
D. Print All Invoices - Print all invoices for the group by selecting this option
E. PPU - The PPU of the household
F. Household - The Head of Household Name
G. Account - The account the late fee was posted to
H. Amount - The amount of the late fee
I. Notes - Clicking this icon will show you all notes associated with a household
J. Print Invoice - Here, you can print a single invoice for an individual household
